Why statements slip through

Every carrier sends its commission statement in its own format, on its own schedule, with its own idea of what a policy number looks like.   • The wrong rate. A tier or agreement rate applied incorrectly, often after a carrier updates its schedule and the agency's copy does not follow.
  • The missing policy. A bound policy that never appears on any statement, usually because it was coded to the wrong agency or producer at the carrier.
  • Cancellations and reinstatements. Commission clawed back on a cancellation and not restored when the policy is reinstated.
  • Mid term changes. An endorsement that raised premium without the additional commission following.
  • Contingent and bonus terms. Growth or profit sharing terms that nobody reconciles against the agency's actual book.

The window closes

Most carrier agreements limit how far back a discrepancy can be raised. The terms vary, so check yours, but the practical effect is the same: commission that is not found within the window is not recovered. That turns reconciliation from a nice to have into a monthly deadline.

  • Reconcile every statement the month it arrives, not quarterly
